Sponsor enquiries with an owner and a clock, for a first-edition conference

AI Builders Network, a Tech Family Ventures brand, had an audience, interested sponsors, and a first conference to fill. It did not have an intake that kept every enquiry, or an outreach practice a new domain could survive. Both now run on CommsOperator.

AI Builders Network runs its community and its first global conference, on 14 and 15 October 2026, on CommsOperator: 30 connected channels, sponsor and partner web forms that arrive as scored leads with an owner and an acknowledgement, pipelines holding nearly 2,000 deals, 83 campaigns with every draft in an approval queue, and a public booking link for partnership calls. Lists are verified before a reactivation wave: on an aged sample, only 42 of 100 contacts were confirmed good.

The situation

The sponsors page promised a reply within 24 hours. An audit in July 2026 found submissions that had waited between 5 and 24 days. The form posted into a shared mailbox with no owner and no first-response clock, so every enquiry belonged to everyone and therefore to no one. In parallel, AI-drafted speaker invitations sat in an approval queue that had never been assigned to a person.

What changed

  1. Give every enquiry an owner (CRM). Sponsor, partner, and chapter-leader forms post to the signed public leads endpoint. Each submission is scored, routed to its pipeline, matched against existing contacts by email, acknowledged automatically, and assigned. The first-response time is measured, not assumed.
  2. Verify before sending (Campaigns). A hundred-contact validation pilot ran before the first reactivation wave. Mailbox verification plus employment matching confirmed 42 contacts as good, flagged 26 for send-with-caution, 25 for replacement, and 6 for deprioritisation. The list was fixed before a single email went out.
  3. Put a person on the queue (AI agents). Every draft still waits for approval. Now a named owner is responsible for clearing the queue, because an assist-mode campaign is only as fast as the person approving it.
  4. Let sponsors book directly (Appointments and meetings). A public booking link places partnership calls on the partnerships calendar.
  5. Answer on the site (Widgets). Chat, feedback, roadmap, and help center widgets on aibuildersnetwork.org.

The result

Sponsor pipeline, speaker outreach, and community support run on the same rails: 30 channels in one queue, one set of suppression rules across nearly 2,000 deals, 83 campaigns with every draft approved by a person, and one place to see what is late. The conference opens on 14 and 15 October 2026 with its intake measured rather than promised.
