Microsoft 365 mailbox sync

New mail is in the shared queue within seconds of reaching the mailbox. Nobody refreshes and nobody waits for the next sync: the Microsoft 365 connection is push, not polling. Connect one mailbox with your own Microsoft sign-in, or every mailbox in the company with one approval from IT.

Shared and delegated mailboxes

Connect partnerships@ or office@ once, without handing anyone its password. Each shared mailbox is authorised explicitly through the organization connector. Then decide who answers from it, who can help, and who only gets to read: owner, delegate, or read-only.

AI triage and drafting

The inbox sorts itself before you open it: needs a person now, can wait, or junk (Focused, Other, Spam). Reply drafts use your own help articles and training notes, not the open internet. Per channel, AI is off, drafts for review, or answers on its own for the web chat widget only.

Rules, assignment, and status flow

The right person owns the thread before anyone asks who has it. Route by channel, sender, domain, subject, keyword, or attachment, then assign, prioritise, and resolve. A resolved thread reopens itself when the customer writes back. Spam never reopens anything.

Microsoft Teams in the loop

The Teams channel that needs to know hears about it, with the buttons to act. Notifications arrive as adaptive cards, a Teams bot handles mentions and digests, and chat threads stay linked to the conversation or record they are about.

LinkedIn Page inbox, assisted

Messages to your LinkedIn Page land in the same queue as email. A signed-in operator runs the browser bridge, replies are drafted in the app, and a person sends every one. There is no unattended automation against LinkedIn, and there will not be.

Limits, stated plainly

What this module does not do today, and what to do about it. If one of these is a blocker, you know before you commit, not after.

  • Gmail and Google Workspace mailboxes are not supported yet. Microsoft 365 is the supported email provider, and we will say when that changes.
  • WhatsApp, Instagram, Facebook Messenger, X, Telegram, and SMS are not supported: nothing sends or receives on them. A few of these types are still selectable in channel settings, left over from an integration retired in July 2026, and they are inert. We ship only channels with a sanctioned API path.
  • LinkedIn is assisted, not automated: a person sends every reply, and a signed-in operator keeps the bridge running.

Frequently asked questions

Does CommsOperator replace Outlook?

No. Your mail stays in your Microsoft 365 tenant and Outlook keeps working exactly as it does today. CommsOperator syncs a working copy through Microsoft Graph so a team can share ownership, statuses, and AI drafts on top of it. Stop using CommsOperator and nothing has moved.

Can we connect a shared mailbox without giving anyone its password?

Yes. IT grants the organization connector admin consent once, and each shared mailbox is authorised explicitly after that. No mailbox password is ever typed into CommsOperator or stored by it.

Which channels are actually supported?

Email on Microsoft 365, Microsoft Teams, LinkedIn Page messages through an operator-run browser bridge, the embeddable website chat widget, and website forms. Gmail is on the roadmap. WhatsApp, Instagram, Facebook, X, Telegram, and SMS are not supported: a few remain selectable in channel settings from a retired integration, but nothing sends or receives on them.

Can AI reply without a human?

Only on the website chat widget, and only when you switch it on. There it answers from your knowledge base with citations and hands off to a person when it should. Email and LinkedIn replies are drafted for review and sent by a person.

How soon is a new mailbox useful?

Connect it and triage runs on the first sync. From then on new mail lands in the queue within seconds, already sorted into Focused, Other, or Spam.
