One board and one inbox for the whole conference

For the conference director answering speakers, sponsors, partners, media, and attendees from the same three mailboxes, the forwarding stops. Every audience gets a lane, every deadline gets a date, and the board survives into next year's edition.

For conferences, CommsOperator puts the speaker and sponsor pipelines, approved outreach sequences, the shared event mailbox, and the operations board in one workspace per event brand. Attendee and speaker lists from EventHash come in by export and import with email matching, so ticket buyers become CRM contacts on the timeline. Call-for-papers applicants are matched back to the outreach that reached them by email. WomenTech Network moved a conference board of 328 tasks across 12 workstreams from Monday.com into it.

Monday morning

What usually goes wrong

  • Speaker outreach lives in a spreadsheet, and by July nobody trusts which column is current.
  • The event mailbox holds a sponsor contract and an attendee refund request in the same thread list.
  • People buy tickets on the event platform and never appear in the CRM.
  • The operations board gets rebuilt from scratch every year.
How it works

What changes for the team

  1. 1

The event gets its own workspace

Each event brand has its own mailboxes, contacts, pipelines, and boards, with team members added by role. Last year's edition stays one click away instead of mixed in with this one.

    Shared inbox

  2. 2

Speakers and sponsors move through pipelines with dates

Call-for-papers outreach runs as sequences with the deadline written into the template. Sponsor tiers become pipeline stages. Every send waits for a person's approval first.

    Campaigns

  3. 3

Ticket buyers and applicants show up in the CRM on their own

Import the EventHash attendee list with email matching and ticket buyers become contacts on the timeline. CFP applicants are matched back to the outreach that reached them by email, which is how attribution works when a form strips tracking parameters.

    CRM

  4. 4

The operations board moves in one afternoon

Import the workstream spreadsheet with column mapping, keep your custom fields and statuses, and set recurring pre-event checks so the same reminders do not need re-typing each edition.

    Tasks

  5. 5

The team hears about it in Teams

Task assignments and overdue tasks, sponsor deal stage changes and wins, and inbox SLA breaches post into the event's Teams channel as cards that link straight to the item.

    Tasks

What you end up with

  • One workspace per edition, with the previous edition one click away
  • Speaker, sponsor, and partner pipelines with a date on every stage
  • Ticket buyers on the CRM timeline after one import, matched by email
  • A board of hundreds of tasks, up to 500 per import, moved in one go

Who this is for

The conference director whose inbox holds speaker contracts and refund requests at once, and the programme lead who owns the board

Frequently asked questions

Do you integrate with our ticketing platform?

Attendee lists from EventHash or any other ticketing platform come in through the public leads API or a CSV import with email matching, so a ticket buyer is a contact with a full timeline the same day. There is no live per-ticket sync today, and we will say when there is.

How do you know which outreach produced a speaker application?

By email matching. Most CFP forms strip campaign parameters, so CommsOperator joins applicant emails against campaign contacts, with a name fallback, and records the result on the campaign.

Does it replace Monday.com?

For the operations board, yes: WomenTech Network moved 328 tasks across 12 workstreams from Monday.com into CommsOperator tasks. It does not replace the ticketing or session platform; EventHash stays for that.
