CRM

A CRM that already knows what your inbox knows

Everything that happened with a sponsor, member, or investor, in order, without anyone logging it. The inbox and the CRM are one system, so sent and received email, meeting transcripts, form submissions, and deal moves sit on one timeline, per brand.

CommsOperator's CRM keeps companies, contacts, and deals in a separate workspace per brand, with configurable pipelines, stage probabilities, and SLA tracking. Every synced email, meeting, and note lands on the contact's timeline without anyone logging it. Website forms create scored, routed leads, duplicates are matched on email so one person has one record, and Apollo.io enrichment fills missing company and role data on request. HubSpot and Salesforce are migration sources, not live integrations.

Capabilities

What changes for your team

Companies, contacts, deals

Every account your team touches has one record, and the record carries what a seller needs. Companies hold industry, size, domain, and custom fields; contacts carry title, department, and persona. Deals carry value, stage, probability, owner, and close date, in kanban or table view.

Configurable pipelines

Your stages, your rules, and an alarm when a deal sits too long. Run several pipelines per workspace, each with custom stages and stage SLAs. A drag-and-drop move is checked against the stage's requirements before it saves, so a deal cannot skip the step a manager wanted.

Activity timeline

Open a contact and see the whole relationship: emails, calls, meeting summaries, notes, tasks, and AI activity, in order. Everything is linked by email address and domain automatically, so nobody has to file a conversation.

Lead capture and routing

A form on your website becomes a scored lead in front of the right person, with the contact, company, and deal already created. Someone you already know is recognised by their email, so nobody ends up twice in the CRM. The endpoint is signed, so nobody can fake a lead into your pipeline.

Enrichment

Fill in a title, company, and company size with one click instead of a search. Apollo.io data arrives on request, cached and attributed, and AI research fills in what is publicly known about a company from its domain. Enrichment never overwrites a field a person typed.

Deal health and digests

Ask and the pipeline digest tells you which deals went quiet. Interaction frequency, response times, and deal age produce a health score, and the pipeline digest lists stalled deals and ageing contacts on demand.

Proof

Numbers from the production instance and behaviour checked against the code. No projections, no testimonials.

  • 227,000+ contacts and 11,800+ deals run on the production instance across 24 brand workspaces
  • WomenTech Network consolidated HubSpot (213,000 contacts), Brevo (217,000), and 97 website forms into one CRM of 222,000+ contacts
  • Website lead capture is verified end to end on four product sites
  • Venture funds keep Decile Hub and CommsOperator in step: people, organizations, pipelines, and files sync

Limits, stated plainly

What this module does not do today, and what to do about it. If one of these is a blocker, you know before you commit, not after.

  • HubSpot and Salesforce are migration sources, not live integrations. Bring data in by CSV import or the public leads API, and plan the cutover as a move, not a sync.
  • Self-serve CSV export is on the roadmap. Today, ask and we export your contacts for you.
  • Suppression is one-way by design. Once an address is suppressed, no click, import, or admin action can clear it, so check a list before you import it.

Frequently asked questions

Does CommsOperator replace HubSpot?

For companies, contacts, deals, pipelines, and the email timeline, yes: WomenTech Network moved 213,000 HubSpot contacts into it. There is no live HubSpot sync, so treat it as a replacement you migrate to, not a companion you run alongside.

How does deduplication work?

One person, one record. Contacts are matched on email address within a workspace, and companies on domain. Free-mail domains never create a company. When an import or a form submission matches an existing contact, the record is updated, never duplicated.

Can each brand have its own CRM?

Yes. Every brand is a separate workspace with its own contacts, companies, deals, pipelines, and members. Nothing is shared across workspaces unless you import it.

Do you sell or enrich our data with third parties automatically?

No. Enrichment uses Apollo.io when a user requests it for a record or a list, and the hosted instance also looks up an unknown inbound sender so the timeline shows a name and company. Every lookup is logged. Your data is not sold and not used for anyone else's marketing.
