Members, sponsors, and partners. One small team, without the crossed wires.

For the community lead whose team answers members in the morning and sells sponsorships in the afternoon, the shared-inbox pile-up stops. Member questions sort themselves, sponsor threads get an owner, and an unsubscribe in one place holds everywhere.

CommsOperator gives a community's three audiences, members, sponsors, and partners, their own lane inside one workspace: a triaged member support inbox with a public help center, a sponsor pipeline with approved follow-ups, and newsletters with a one-way opt-out list every campaign respects. It runs on one CRM consolidated from the tools you already have. WomenTech Network merged HubSpot, Brevo, and 97 web forms into 222,000+ contacts and runs member support, sponsor sales, and newsletters from it.

Monday morning

What usually goes wrong

  • A member asking how to log in and a sponsor asking for the contract sit in the same inbox, and the sponsor waits.
  • Our contacts are split between HubSpot, an email platform, and years of website forms, with no idea who is in all three.
  • Someone unsubscribes from the newsletter and the next sponsor campaign emails them anyway.
  • The knowledge base is a Google Doc a volunteer updates when they remember.
How it works

What changes for the team

  1. 1

    Every contact becomes one record

Import from your CRM, email platform, and website forms with matching on email, so one person is one record. Opt-outs come across with them, and nothing a person typed is overwritten silently.

  2. 2

Member questions sort themselves on arrival

The inbox triages each message as needs a human now, can wait, or junk. Drafts pull from your own help articles, the public help center answers the repeat questions, and the chatbot hands over to a person when it should.

    Shared inbox

  3. 3

Sponsors and partners get their own lane

Tiered pipelines with a target duration on every stage and follow-ups that wait for approval, kept apart from member support by mailbox and owner.

    CRM

  4. 4

    Newsletters respect one opt-out list

Editor, archive, the delivery provider of your choice, and a one-click unsubscribe that no later import or campaign can undo.

    Campaigns

  5. 5

Members answer themselves and vote on what comes next

The help center, feedback board, and roadmap sit on your own site, so the repeat questions fall and members tell you what to build next.

What you end up with

  • One CRM record per member, whichever source they came from
  • A first-response clock on the member inbox and the sponsor inbox
  • One opt-out that holds across newsletters and every campaign
  • A help center that takes the repeat questions off the team

Frequently asked questions

Can we migrate from HubSpot and Brevo?

Yes, by export and import with email matching; neither is a live integration. WomenTech Network moved 213,000 HubSpot contacts and 217,000 Brevo contacts, carried their opt-outs and bounces across as suppressions, and matched 145,000 website form submissions to the same records.

Is there a free tier for small communities?

Plan tiers exist in the product, but public pricing and allowances are not live while CommsOperator is in private beta. Request access and tell us your size; a person will reply with whether it fits.

Does the chatbot answer members on its own?

Yes, from your help center only, with citations to the articles it used, and it hands the conversation to a person when it cannot find an answer. Nothing it says comes from the open internet.

Start with the part that hurts

Access is by request. Tell us what breaks first in your week and a person will say whether CommsOperator fixes it today or not yet.
