Every sponsor inquiry answered. Every follow-up approved before it leaves.

For the person selling sponsorships from the same inbox they answer, the days-old unanswered form stops happening. Inquiries land with an owner, deals carry dates, and a whole wave of follow-ups is approved in one sitting.

CommsOperator runs sponsorship and partnership sales from one shared mailbox. Website inquiries arrive as scored leads with an owner and a first-response clock, and the first email from an unknown sender can be turned into a scored lead with a reply drafted and waiting for approval. Deals move through a sponsorship pipeline with a target duration per stage. Follow-up sequences draft from fixed templates and wait in an approval queue before anything leaves. A public booking link puts the call on the calendar, and list validation plus automatic bounce suppression keep the sending mailbox safe.

Monday morning

What usually goes wrong

  • A sponsor filled in the form on Tuesday. Nobody noticed until the following week, because the shared mailbox has no owner and no clock.
  • Reactivating last year's sponsors means emailing a list where a good share of the people have changed jobs.
  • The AI drafts are decent, but nobody dares let them send, so they sit unsent.
  • The deck is in Drive, the call notes are in someone's head, and the contract stage is in a spreadsheet.
How it works

What changes for the team

  1. 1

Every inquiry gets an owner the moment it arrives

Your sponsor and partner forms feed the CRM directly. Each submission is scored, routed to the right pipeline, matched by email to anyone you already know, and assigned. Switch on cold-inbound intake and the first email from an unknown sender becomes a scored lead and a deal, with a reply drafted and waiting for a person to approve. The response clock starts on arrival, not when someone opens the mailbox.

    CRM

  2. 2

Deals carry dates, so nothing quietly stalls

Prospect, exploration, alignment, active, closed: each stage has a target duration and written exit criteria, so everyone knows what a deal needs before it moves. You see which deals are overdue at each stage instead of finding out at the close date.

    CRM

  3. 3

Follow-ups draft themselves and wait for your yes

Uniform templates per sponsor tier mean a whole wave can be reviewed and approved in one sitting. When a sponsor replies, their sequence pauses. Each mailbox sends at most 200 emails a day by default and the rest go tomorrow, so your domain's reputation is protected whether or not anyone is watching.

  4. 4

Check the list before you reactivate it

Verify mailboxes and current employment before a reactivation wave goes out. On one aged list, only 42 of 100 contacts came back confirmed good. That is the list you do not want to send to blind.

    Campaigns

  5. 5

Book the call, keep the summary

A public booking link on the partnerships calendar replaces the scheduling thread. Afterwards, the meeting summary sits on the sponsor's timeline next to every email they ever sent you.

    Appointments

What you end up with

  • One partnerships@ queue per brand, with named owners and read-only guests
  • A pipeline that shows which sponsor deals are overdue at each stage
  • A whole wave of follow-ups approved in one sitting
  • No email to a bounced, unsubscribed, or departed contact, ever

Who this is for

Frequently asked questions

Can the AI email sponsors on its own?

No. Sponsor outreach uses fixed templates, and every step waits in the approval queue for a person. An admin can allow automatic delivery for one specific, reviewed sequence, and that permission is tied to the exact template: change a word and it goes back to review.

How do we avoid emailing people who left their company?

Validate before you send. CommsOperator supports mailbox verification and Apollo.io employment checks on request. A contact marked as departed is suppressed for every channel, including one-to-one email, and no later import can undo it.

Does it replace our shared mailbox in Outlook?

No. partnerships@ stays in your Microsoft 365 tenant. CommsOperator connects to it, adds owners, a queue, and the pipeline, and every reply leaves from the same address your sponsors already know.
